Terms and Conditions for Carnival Costume Purchase

1. Payment and Refund Policy

1.1 No-Refund Policy: We maintain a strict no-refund policy on all payments made for costumes and fun mas packages. This policy applies even in cases of event postponement or cancellation.

1.2 Cooling-Off Period: A 14-day cooling-off period is provided from the date of purchase or downpayment. This period applies to both deposits and full payments.

1.3 To secure your costume booking, a non-refundable deposit is required, regardless of the costume’s price. By making this payment, you confirm your acceptance of these terms.

Should you choose to cancel your booking, your deposit can be applied toward a future carnival package. It will remain valid indefinitely for rebooking purposes.

1.4 The balance for selected costumes must be paid on or before the advertised deadline.

1.5 Payments must be made in full as per the payment terms prior to collection.

1.6 A 4% administration fee may be added to the total cost of your costume, including add-ons such as backpacks and collars, at checkout.

2. Order Completion and Distribution

2.1 All orders will be completed and ready for distribution on the set pick-up date in July 2025.

2.2 It is your responsibility to collect your order on the designated pick-up date as communicated on our website.

2.3 If you cannot make it on the designated pick-up date, please inform us at least 24 hours in advance.

2.4 Orders not collected within a month after the specified pick-up date will be resold, and the funds received will be donated to our chosen Caribbean island charity.

3. Costume Collection

3.1 Costumes must be collected at the distribution centre by the owner with valid identification.

3.2 Authorized persons may collect on your behalf with valid identification.

3.3 The costume distribution schedule will be communicated via email, website, and social media platforms.

3.4 Please note that uncollected costumes will be handled as per section 2.4.

4. Refunds/Returns Policy

4.1 Deposits are non-refundable as carnival costumes are custom-made items.

4.2 No exchanges or switching of sections or options are allowed.

4.3 Changes to measurements or sizes can be accepted up to 30 April 2025.

4.4 No costume transfers or returns will be accepted.

5. Agreement to Terms

5.1 By ordering a costume from or participating in events organized by LUXEMBOURG CARIBBEAN CARNIVAL ASSOCIATION ASBL, you are considered to be registering with us and thereby agree to be bound by these Terms and Conditions.

5.2 Acceptance Requirement: Acceptance of these Terms and Conditions is mandatory for participation in the carnival with LUXEMBOURG CARIBBEAN CARNIVAL ASSOCIATION. By making any payment towards a costume or package, you are deemed to have accepted these terms in full. No alternatives or refunds will be offered for non-acceptance of these terms after payment has been made, in line with our no-refund policy as stated in section 1.1.

6. Definitions

6.1 “We”, “us”, “our”, or “LUXEMBOURG CARIBBEAN CARNIVAL ASSOCIATION” refers to LUXEMBOURG CARIBBEAN CARNIVAL ASSOCIATION asbl.

6.2 “You” and “your” refers to you as a participant in the LUXEMBOURG CARIBBEAN CARNIVAL ASSOCIATION band.

7. Modifications to Terms

7.1 We reserve the right to modify these terms at any time by posting a new version on our website.

7.2 Changes to these terms do not affect rights and obligations that arose prior to such changes.

7.3 Your continued use of our website or any of our goods or services following the posting of modified terms constitutes acceptance of those changes.

8. Consumer Data Privacy Statement

8.1 We, as the sole organizers of the Luxembourg Caribbean Carnival, are the sole owners of information collected on this site.

8.2 Your information will be used for costume and Carnival-related communication and promotions.

8.3 We will not share your information with third parties outside our organization.

8.4 You agree to the use of images or videos of you in costume for marketing and promotional purposes without compensation. You may opt-out of this by contacting us via email.

9. Data Security

9.1 Necessary precautions are taken to protect your information both online and offline.

9.2 Sensitive information is encrypted and transmitted securely to the payment processor.

9.3 Data Retention: Your data will be retained for a period necessary to fulfill the purposes outlined above and will be deleted thereafter, unless required by law to be kept longer.

10. Termination of Use

10.1 If you object to any provision of these terms or become dissatisfied with our website, goods, or services, your only recourse is to immediately terminate use of our website, goods, or services.

By agreeing to these Terms and Conditions, you acknowledge that you have read, understood, and agree to be bound by all of the above provisions.
